Trade Support Virtual Assistant

Inbox Management

• Monitor and respond to client’s support email and Instantly inboxes daily during your shift
• Read every email carefully, whether a direct reply or an auto response, as most contain vital contact information including the decision maker’s name, title, phone number and email
• Update our platform immediately when any contact information is found in an email response
• Take full accountability for any Exporter or Importer who responds and respond promptly using provided templates
• Act as the Human Matching component by identifying and reaching out to the opposite party in the trade to begin the transaction
• Search our platform database to find new Exporters or Importers to match with responding contacts and reach out via LinkedIn and email
• All contacts received via email, whether direct or auto response, must be vetted and verified in our platform, responded to with the appropriate template and connected with on LinkedIn via a customized connection request with a personalized note
• If an Exporter or Importer provides their trade details directly in an email, input that information immediately into the trade in our clients platform and forward the email to the client with a notification that trade details have been provided

Research, Verification and Vetting

• Look up each Exporter and Importer on LinkedIn, the company website, Google and social media to verify and cross reference the contact data in our platform against what is available from the company’s direct resources
• Confirm the contact is the correct decision maker for the trade. If not, identify the most direct point of contact at the company
• Add the LinkedIn profile link to the contact record in our platform
• Verify and update all contact data including name, title, email, phone number and LinkedIn link in our clients platform
• If a direct email or phone number is not quickly found, use the main company email and phone number. Do not spend excessive time searching for direct contact details
• Target time per trade including both Exporter and Importer research is approximately 5 minutes
• The goal is to connect with, contact and engage with the decision maker who will be handling and executing the trade

LinkedIn Account Management and Outreach

• You will be running clients LinkedIn accounts as a team, managing DMs, monitoring connection requests and accepting and responding to all activity to engage with Exporters and Importers
• Send customized connection requests with a personalized note through one of the clients Executive LinkedIn Premium accounts for every Exporter and Importer in our system
• Monitor LinkedIn DMs daily and respond to all incoming messages promptly and professionally
• Accept all incoming connection requests and respond accordingly
• Strong LinkedIn skills and experience are required as this is the primary outreach and engagement platform
• If a contact is not active on LinkedIn, search Facebook, Instagram or X and send a DM on their most active platform only. No need to reach out on multiple platforms if the contact is active on at least one

Platform and Chat Monitoring

• Monitor clients platform for notifications from Exporters and Importers who log in and reach out
• Red notifications indicate an Exporter and Blue notifications indicate an Importer. Click the notification and begin the Chat using the provided template message
• Monitor the Green Chat icon in the lower right corner of the platform. A Red number indicates an Active Chat that needs an immediate response
• If an Exporter or Importer engages in Chat, respond promptly and professionally
• Direct contacts to use our platform Chat for ongoing questions and updates whenever possible

Trade Facilitation

• Guide Exporters and Importers to complete our simple 4 field form in their personalized Dashboard
• If preferred, collect their information directly and input it into the platform on their behalf
• Answer questions promptly via DM on whichever platform you connected with them or through our platform Chat

Transaction Closing

• Take full accountability as the Trade Relationship Coordinator to help every Exporter and Importer complete their transaction
• Follow up consistently and proactively until the trade is closed
• Collect all required documents and signatures
• Coordinate all steps between the Exporter and Importer to move the trade toward closing
• Earn a cash bonus on every closed trade
